Company Wizard

ACT! For Sage now supports company records. Adding a company record allows you to select contacts that you want linked to that company. If you create a contact, you can tell ACT! to create a company from that contact. This ACT! add-on product creates a dynamic company records system.

Occasionally though, you import large amounts of data into an ACT! database. Now, you want to do a mass update and build company records based on the data imported. You also want to make sure you create the contact links at the same time.

The Company Wizard is the answer. When in a contact list view, you locate the Company Wizard on the Tools menu. You select the contacts you wish to work with. This ACT addon wizard will do the following:

Link a contact to an existing company record.
Create a company record if it does not exist and then link the contact.
Bypass contacts with blank company or contact records.
Provide a menu box showing how many company records were created, how many contacts were linked and how many were skipped.

Copy Fields Wizard

Ever import an Excel spreadsheet into ACT! and notice that you have data in the wrong fields? For example, you put companies in the contact column and vice versa. Ever import or migrate data from another older version, or product, and find that a date field was entered using Text formatting and not date formatting? Now you want to move the data to a true date field. That’s where this tool comes in handy.

This ACT addon wizard will create a set of three additional menu items on the EDIT menu. These extra Copy/Replace/Swap menu items are an extension to the already great replacement tools provided by ACT! By Sage. You will see Copy Extended, Replace Extended, and Swap Extended. Using these dropdowns, you can copy, replace or swap ANY type field with ANY other type field. That includes text to date, date to text, etc. If the fields you are swapping are different sizes, you will see an error alerting you to possible truncation of data.

If you copy a text field that has date entries into a date field, the wizard will do it’s best effort at pulling over the text as dates. It will use the underlying system date specifications that are enabled in your operating system.

Fields and Tables to Excel Wizard

This standalone ACT addon executable opens Excel, and creates a separate spreadsheet for every table (entity) within an ACT! database. Tables included are; Contact, Group, Company, Activity, Notes, Histories, opportunity and secondary contact. Each spreadsheet lists all the fields and the following columns:

Display Name The name that shows on a layout
Table Name The internal name of the ACT! table
Column Name The actual internal name of the field
Data Type Character, date/time, number, annual event, etc.
Length Size of field
Pick List Name of drop down list
Is Custom Yes/No – is it a custom field
Is Defined Yes/No – is it
Is Primary Yes/No – is it a primary field
Allow Edit Yes/No – Allow editing
Allow Blank Yes/No – Allow blank fields
Allow Null Yes/No – Allow null fields
Create History Yes/No – Create history when updated
Trigger on Focus Shows the path if a trigger exists
Trigger on Lost Focus Shows the path if a trigger exists
Trigger on Change Shows the path if a trigger exists
Default Value Shows the default value if present

This extract is helpful if you are working on XML reports or with reporting tools such as Crystal.

Multi-Tab Layout Control Wizard

This custom ACT addon control allows you to add multi-tab boxes to your layouts. After you install the control, it appears when you are in the DESIGN LAYOUT menus.

You can do the following with the layout control:

  • Add or remove as many tabs as you like
  • Control the size of the box
  • Change the background color of each tabbed box
  • Add any number of fields to each tabbed box
  • Place the tabbed box on any part of the layout

This nifty tool is invaluable when you have hundreds of custom fields. It allows you to buy back valuable “real estate” on your layouts so you can design clean, simple, easy to use layouts.

Primary to Secondary Contact Wizard

One of the best new features introduced in the ACT! by Sage starting with version 2005 is the ability to add virtually unlimited Secondary Contacts to any contact allowing you to quickly locate alternate contacts, assistants, family members and other related contacts.

Now that you have the ability to have comprehensive data for a secondary contact, you may want to take contacts that are primary and make them secondary to take advantage of the new capabilities., or take the secondary contacts that were migrated from other CRM tools, and convert them into ACT secondary contacts.

This addon wizard will allow you do to the conversion. When you are in a contact list, the Secondary Contact wizard will show up on the Tools menu. You perform a lookup for contact(s) you want to demote along with the original Primary contact. You highlight (or select) the contact that will be the primary, and invoke the Secondary Contact item on the Tools menu. It will then do the following:

  • Show a pop up a menu box that allows you to select whether or not you want to copy all the notes and histories from the contact that is being “demoted” to the primary contact.
  • Give you an option to delete the secondary or keep it as a primary as well

Duplicate Remover Feature Comparison

  • Features of Duplicate Remover Wizard (aka Basic)
  • Specify up to 5 fields to be used to match records to find duplicates.
  • Specify whether records where one or more of the match fields are blank are to be ignored.
  • Specify whether the most or least recently modified record is the record that will be retained in full.
  • Merge fields from records to be deleted into blank fields in the record that will be retained.
  • If a non-blank field that is different than the value that is being kept is present in some field in a record to be deleted, make note of that field and value in a note attached to the record that will be retained.

For contacts:

  • Move all subsidiary data (Notes, History, Activities, Opportunities, Secondary Contacts, and Documents) to the retained contact.
  • Retain Company Links as contact records are merged.
  • Retain Company static membership as contact records are merged.
  • Retain Group static membership as contact records are merged.
  • Merge custom table records to the retained Contact.

For companies:

  • Retain the dynamic critera if present in one of the company records being combined.
  • Retain static Contacts.
  • Retain static Opportunities.
  • Retain linked Oontacts.
  • Merge Notes and Histories (Notes and Histories that are related to a Company record but not related to a Contact record).
  • Merge custom table records to the retained Company.
